Privacy Policy —
what we collect and why

How Route Prime Group handles personal information: what we collect, what we do with it, who sees it, and how to get a copy or have it deleted. Effective 1 January 2026.

The short version

Plain English, no legal maze

We collect the minimum needed to quote jobs, move freight and keep the books. That's contact details, job details and site analytics — nothing exotic, nothing sold to anyone, ever.

This policy covers the website, our email correspondence and the paperwork involved in quoting and delivering freight. It's written for the Privacy Act 1988 (Cth) and the Australian Privacy Principles; the GDPR side for overseas visitors lives on the legal page.

At a glance

  • No selling or renting your data — to anyone
  • Records kept 7 years for tax purposes
  • Analytics are aggregated, not individual
  • Deletion requests honoured within 30 days

What we collect

Name, company, email and phone when you ask for a quote or book a job. Pickup and delivery addresses for the freight itself. Invoice and ABN details for billing. Website usage data — pages viewed, time on site, rough location — collected anonymously through standard analytics.

Why we need it

Quotes and bookings can't happen without contact details — that's the obvious one. Job records go to drivers and coordinators so the freight gets where it's going. Invoices feed the accounting, which the ATO requires us to keep for seven years. Analytics tell us which pages people actually read so we write better ones.

Who sees it

Our own staff first — coordinators, dispatch, accounts. Then the people physically doing the work: carriers and drivers get the delivery contact they need, customs gets importer details where a clearance requires it, and our accountants see invoices. Everyone in that chain is contractually bound to handle the data properly.

Storage and security

Records live on Australian-hosted servers with access limited to people who need them. Paper manifests are scanned and shredded. We don't store payment card numbers at all — card payments go through the processor and never touch our systems.

Your rights

You can ask what we hold about you, have it corrected, or have it deleted where the law lets us (tax records have to stay seven years — that's the ATO, not us). Email the address below, say what you need, and it happens within 30 days. If something goes wrong, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.

Changes to this policy

When it changes, the date at the top moves and significant differences get flagged on the page. We won't email you a 40-line notice about a comma.

Privacy in practice

The three requests we actually get about data.

Email routeprimegroup@gmail.com with 'Privacy' in the subject. We export what we hold — contact details, job records, invoices — and send it within 30 days.

Yes, except where the law requires retention — invoices and tax records stay seven years under ATO rules. Everything else goes on request.

No. Your details go to the people doing your job — drivers, brokers, carriers — and nobody else. There's no marketing list to be added to in the first place.

Our other policies

Plain English, same as this one.
